Compliance documents

Compliance documents are the subset of documents that, if expired, can stop you from working — vehicle fitness, driver licences, permits. DynaCargo tracks them with expiry-aware reminders so you don’t get caught off guard.

The exact list varies by country and by what your organisation has configured.

How expiry alerts work

By default you’ll get alerts at:

  • 60 days before expiry — first heads-up.
  • 30 days before expiry — second reminder.
  • 7 days before expiry — last warning.
  • On the day of expiry — final alert.
  • After expiry — daily until renewed.

Alerts go to the owner of the asset (e.g. the driver, the vehicle’s primary user) and the compliance distribution list (typically an admin or operations manager). See Compliance monitoring for how admins configure recipients.

What happens when something expires

  • The platform stops matching the asset to new jobs.
  • Active jobs continue (so a trip in progress doesn’t get stranded), but the next dispatch attempt requires renewal.
  • Admins can grant a one-time override per job in genuine emergencies — see Compliance monitoring.

Renewing

  1. Get the renewed document from the issuing authority.
  2. Open the entity and the existing document.
  3. Click Replace and upload the new file with the new expiry.
  4. If applicable, verify the QR.
  5. The platform clears the alert and resumes matching.

Reporting

For internal audits or external regulators, export the compliance dashboard from Fleet → ComplianceExport. The PDF includes every tracked document, its status, expiry, and upload trail.
